What We Collect

When you submit a quote request or contact us, we collect the information you provide: your name, role, email address, optional phone number, school name, school district, meet location, event details, and any free-text notes you share. We also log the IP address of your submission to help prevent abuse.

How We Use It

We use your information only to respond to your request, prepare a quote, coordinate judges, and send you follow-up communications related to your meet. We do not sell, rent, or share your information with third parties for marketing purposes.

How We Protect It

Personally identifiable information (names, email addresses, phone numbers, free-text details, and IP addresses) is encrypted at rest in our database using AES-256-GCM authenticated encryption. Access to admin systems requires authentication and is limited to authorized personnel.

Cookies

We use a session cookie to maintain security tokens during form submission. We do not use advertising or tracking cookies.

Third-Party Services

Our contact form uses Cloudflare Turnstile to help distinguish human submissions from automated abuse. Turnstile’s own privacy policy applies to its operation.

Data Retention

Quote requests are retained for operational and recordkeeping purposes. You may request deletion of your information at any time by emailing info@hospitalityroomconsulting.com.
